The Montreal New Horizons Band (MNHB) is committed to protecting the privacy and security of our members' personal information. This policy explains how we collect, use, and protect your data in accordance with Quebec’s Law 25.
1. Information We Collect
When you register for a session or join our mailing list, we collect:
• Identification: Name and email address.
• Musical Info: Instrument choice and experience level.
• Consents: Your preferences regarding photo/video usage and mailing list subscriptions.
2. How We Use Your Information
We use your data strictly for:
• Managing registrations and session placements.
• Communicating schedule changes, rehearsals, and concert details.
• Informing you of future sessions and band news (if you have opted-in).
3. Data Storage and Access
Your data is processed through Zeffy, our third-party registration platform. For internal management and attendance tracking, we also maintain secure records on Microsoft OneDrive. Both platforms are password-protected and encrypted. We do not sell or trade your information. Access is restricted strictly to the Director, Treasurer, and Ensemble Managers.
4. Consent and Media
During registration, you are given the choice to consent to the use of photos or videos taken during rehearsals or performances for our website and promotional materials. You may withdraw this specific consent at any time by contacting us.
5. Retention and Deletion of Data
Subscribers: If you have opted-in to our mailing list, we retain your contact information indefinitely to keep you informed of future opportunities.
Inactive Records: For individuals who have not registered for a session or engaged with our communications for three (3) consecutive years, personal identifiers (names and emails) will be deleted or anonymized.
Analytics: We retain non-identifiable, aggregated data (e.g., historical instrument counts) indefinitely for long-term organizational planning.
6. Your Rights
You have the right to access the personal information we hold about you, to request corrections, or to ask for your data to be deleted.
